AI receptionist for dealerships: 24/7 service by phone, WhatsApp and chat

"Always being available" doesn't mean responding the same way on every channel or at every hour. It means keeping the context when the buyer switches channel, offering the right next step at each moment and not creating three different records in the CRM for the same person. This article explains how the voice agent works, how to design multichannel service and how to evaluate it before switching it on.

Why the channel matters as much as the operating hours

A buyer who asks via WhatsApp at 23:10 and calls by phone the next day is the same buyer. If the telephone system does not know there was already a WhatsApp conversation, it will ask the same questions the WhatsApp assistant already answered. That ruins the experience and conveys disorganisation.

The problem is not operating availability: it is consistency between channels. A system that serves four channels but does not share context between them is not a 24/7 receptionist: it is four receptionists who do not talk to each other.

The technical solution is a single inbox where all conversations, regardless of the source channel, are linked to the same lead in the CRM, with the same vehicle of interest and with the accumulated context of previous contacts.

The distinct role of each channel

Each channel has a specific strength that defines when to use it and how to design the system's response.

The phone is the channel for urgency and conversational nature. Its strength is speed and the fluidity of spoken language. Its limitation is that it does not allow sending documents or vehicle specification sheets during the call. The best use is addressing urgent queries, resolving specific doubts, and closing appointments.

WhatsApp is the channel for continuity and documentation. The conversation is recorded, specification sheets with photos can be sent, the buyer can read the information again, and they can provide documentation. Its limitation is Meta's template rules for business-initiated messages. The best use is follow-up after the first contact and collecting data for valuation.

Web chat is the channel for capture at the moment of highest interest. The buyer is browsing the catalogue and has a specific question at that exact moment. Its limitation is that the user can close the tab before leaving their details. The best use is initial guidance and contact capture.

A conversation that changes channels: a full example

At 23:10 on Friday, Marta opens the listing for a Hyundai Tucson on the website and asks in the chat if it is still available and if it can be financed without a down payment.

The assistant confirms availability by checking the stock in real-time, explains general financing options, and offers to continue via WhatsApp for more information.

Marta accepts. The assistant sends her the complete listing with photos and price, and asks for her car's registration plate if she wants an indicative part-exchange valuation.

On Saturday, Marta sends the registration plate. The agent asks for photos of the car's condition to prepare the valuation.

On Sunday, Marta sends the photos.

On Monday, the sales agent sees in the CRM: active lead for the Tucson, complete conversation since Friday, pending appointment. The purchasing manager sees: pending valuation with registration plate, photos, and mileage. Neither has to call Marta to ask for information she already provided. This journey only works if all three channels share the same record from the first message.

How a voice agent works: the six seconds of the cycle

A voice agent executes the same six-step cycle on each turn of the conversation. Understanding that cycle is understanding where it can fail.

The first step is transcription: the audio is converted to text. If the recognition does not correctly understand an accent, a model name, or a registration plate, everything that follows starts from incorrect information.

The second step is intent identification: the system interprets what the buyer wants and what data they mention.

The third step is querying sources: real-time stock, calendar, customer history in the CRM, dealership rules.

The fourth step is the decision: answer, ask, propose an appointment, or transfer to a sales representative.

The fifth step is generating the response in text.

The sixth step is voice synthesis: text is converted to audio.

That cycle has to be completed in less than 1.5 seconds for the conversation to be fluid. Latency is not a technical detail: it is the factor that most determines whether the agent sounds natural or robotic. It must be measured with actual active integrations, not in a demo without external queries.

The script cannot be an interrogation of fixed questions. If the buyer says "I'm calling about the Golf I saw on your website", the agent already knows the make and model. The next useful question is what they want to know about it, not asking for the make again. A dynamic script reduces the number of turns required to reach a useful answer.

What data the agent needs to talk about cars

The voice agent is only as good as the data it can access. Without correct access, it improvises or invents.

Real-time stock is the most critical data. If the agent queries a catalogue with a 24-hour delay, it might confirm availability of a car that is already sold. Synchronisation must be in real-time or with a maximum lag of minutes.

Commercial policy defines the boundaries: what it can confirm, what it escalates, and what it never does autonomously. Without that policy, the agent could commit to unapproved discounts.

The appointment calendar with real-time availability by salesperson and branch. If two channels offer the same slot simultaneously, there is a double booking that someone has to resolve manually.

Customer history in the CRM allows identifying if the buyer has contacted before, what vehicle they were interested in, and which salesperson they work with. Without that history, it treats every buyer as new.

Escalation signals define when to transfer: active complaint, complex financing, buyer requesting to speak with a person.

Different rules for night-time and business hours

Outside of business hours, the system can resolve availability queries, collect data, offer calendar slots, and make clear when a person will reply. It cannot promise reservations without executing them, approve financing, or confirm prices outside the system.

During business hours, add immediate transfer to an available salesperson with a summary of the accumulated context.

For complaints and emergencies, the journey must be specific: confirm immediate receipt, provide a concrete timeframe, and create an urgent task in the CRM. Never try to resolve the complaint autonomously.

A single inbox is more important than the number of channels

The most common mistake when implementing multi-channel support is creating a separate system for each channel without connecting them. The result is three or four inboxes where the same buyer appears as a new lead in each channel.

A single inbox means that all channels create or update the same file in the CRM, linked to the same person, to the same vehicle, and with the full history.

The context that travels between channels must be small and useful: buyer's identity, vehicle of interest, expressed preferences, pending questions, consent given, and last action taken. With those six elements, the next agent or salesperson can continue without repeating questions.

What the system can promise and what it cannot promise

The system can inform about availability when querying stock in real-time. It cannot guarantee a reservation without executing it.

It can explain general financing options. It cannot approve a deal or confirm personalised financial terms.

It can prepare an indicative valuation for a car the buyer wants to sell. It cannot commit to a purchase price without a review by the purchasing manager.

The test plan before publishing the number

Before activating the number on the voice agent, you must test under adverse conditions. The eight mandatory tests are: call with background noise, buyer with a strong accent, real model names and registration plates, interruptions while the agent is speaking, asking for a car that is not in stock, customer complaining in an aggressive tone, buyer asking to speak with a person at any point, and temporary CRM or stock downtime during the call.

Each test must have a documented expected outcome. "The conversation sounded fine" is not a criterion: you must verify that the appointment, note, or task was created correctly in the CRM, only once, and with the correct information.

A simple criterion to know if the pilot is working

After two weeks, listen to 50 real calls and classify each into four categories: resolved autonomously, transferred at the right moment, transferred late or incorrectly, and failed. Then check the CRM log for each.

A voice agent with a pleasant voice that does not leave useful logs in the system is just a fancier switchboard. The agent's value is measured by the quality of what it leaves in the CRM, not the quality of the conversation itself.

What to audit after the first full week

Six metrics reveal if the system is working: conversations per hour and channel, queries resolved without human intervention, callback promises kept within the stated timeframe, duplicate records created in the CRM, handoffs accepted by the salesperson vs abandoned, and weekend appointments that attended.

24/7 coverage is only a success if the day shift can absorb the results of the night and weekend without collapsing.

Frequently asked questions

How many channels should be covered from the start?

One, the one with the highest unmet demand. Implementing four channels simultaneously without any of them working well is worse than having one excellent channel. The sequence is to stabilise the first, then add the second while maintaining the same rules for stock, calendar, and escalation.

How much does a voice agent cost for a dealership in Spain?

The two most relevant providers with public prices in 2026 are Emblematic (€99 per month with 1,000 minutes) and voz.ag (€499 per month with 1,500 minutes). They are not equivalent packages. Consult the article on how much it costs to implement AI in a car dealership for the total cost including integrations and operations.

What happens if the buyer detects they are talking to an AI?

The system must be transparent when asked directly. Trying to hide it creates distrust when the buyer finds out. Transparency builds more trust than simulation.

How do I know if the single inbox is working correctly?

By reviewing duplicates in the CRM after the first week. If the same buyer appears as two or three different leads because they got in touch via different channels, identity unification is not configured correctly.
