Article objective: to explain what a digital receptionist for car dealerships is, which calls and messages it can resolve, and where a human needs to step in. The goal is not to replace the team, but to organise the business's entry point.

What happens during a conversation

  1. Recognises intention: buying, selling, financing, aftersales, or administration.

  2. Identifies context: vehicle, listing, person, and channel.

  3. Resolves the verifiable: opening hours, location, availability, or specifications.

  4. Advances: appointment, valuation data, alternative, or transfer.

  5. Logs: summary, preference, and next task.

What it should resolve without help

  • Opening hours, address, basic documentation, and contact channels.

  • Availability and published specifications of a vehicle.

  • Collection of budget, timeframe, and preference.

  • Proposal of pre-authorised calendar slots.

  • Confirmation and reminder of an appointment.

What it must transfer

Price negotiations, complaints, final financing decisions, sensitive issues, legal queries, and any request for which there is no reliable data. A good digital reception recognises uncertainty; it does not fill gaps with plausible-sounding answers.

Full example: vehicle already reserved

A buyer calls about a BMW X1. The receptionist checks that it is listed as reserved and avoids promising availability. They ask if the buyer is looking for diesel, their budget, and geographical radius; they find two alternatives and offer a viewing. The CRM records that the original interest was in the BMW and why the other cars were proposed.

How to know if it is worth it

Review for two weeks how many calls go unanswered, which questions are repeated, and how many end up requiring a manual call back. If the volume is small and always answered, improving the human process might be enough. If there are nights, weekends, multiple channels, or constant interruptions, a digital reception can provide capacity.

From reception to sale

The Dealcar sales agent offers a reception connected to WhatsApp, web, portals, and ads, capable of qualifying and scheduling viewings. Its value lies in the fact that the result lives alongside the stock and the CRM. The salesperson receives the context and continues, instead of starting from scratch.

Designing the intent tree

Listen to a hundred real calls and messages and classify them by motive, not by department. ‘I want to know if it is available’, ‘I want to sell my car’, and ‘I need a copy of the invoice’ are intentions. Then assign data, possible response, destination, and level of urgency.

Tone is not just a voice

Define whether it addresses customers formally or informally, how long a response lasts, how it pronounces the brand, and which phrases it avoids. Add examples of how to recognise hesitation and how to admit it does not have the information. For voice, test foreign names, towns, and models with different pronunciations.

Gradual rollout plan

  1. Out-of-hours with FAQs.

  2. Scheduling and data collection.

  3. Inventory queries.

  4. Continuity with WhatsApp.

  5. Low-complexity outbound calls.

Each phase must stabilise before adding the next. This reveals whether the bottleneck was actually in reception or in the team's capacity to return contacts.

Salesperson experience

The summary should take up just a few lines and highlight motive, vehicle, urgency, collected data, and next step. If the salesperson needs to listen to every recording, the reception has not completed its job. Include a button to correct the intention or result and use that feedback in reviews.

Doubts before installing a digital reception

Does it have to pretend to be a person?

No. It is best to present it transparently as the dealership's assistant. Trust depends more on it understanding, resolving, and offering a human alternative than on hiding its nature.

Can it work with the current telephone system?

Many solutions work via forwarding, porting, or connecting to the switchboard. Confirm who retains the number, how much forwarding costs, and what happens if you change provider.

Is it useful with few calls?

It can be useful if those few calls are of high value or arrive out of hours. Before signing up, count volume, missed opportunities, and interruption time over two weeks.
